Full Case Study
Dursley Rugby Football Club is a significant contributor to the social and cultural life of Dursley, Cam and the surrounding Vale area in Gloucestershire. With more than 600 senior members the club fields three regular senior teams, a continually strengthening ladies team, and many junior and minis teams with both girls and boys playing, a significant proportion of the local population have some contact with the club.
Since 2006, Evergreen have proudly sponsored this local rugby football club through development, technical support and hosting services, providing a much needed resource for the club. Simon Bilous, Chairman of Dursley RFC confirms this, ''Evergreen have been a great help with our website. From initial scoping and development through to ongoing maintenance and updating. They provide a great mixture of expert knowledge and advice with a keen desire to understand what we want to get out of the site, tailoring their expertise accordingly.''
So how have Evergreen helped the administrators of the rugby club website? By accessing the simple to use bespoke Content Management System (CMS), the content is refreshed each season and fixtures, match reports and photos are updated weekly. Members can be contacted through the integrated newsletter email system, and committee groups and sub-groups can be managed easily and contacted quickly. Resources can be quickly uploaded as PDF documents, giving transparency of the club's policies pertaining to child welfare, health and safety, insurance and codes of conduct etc. as well as providing useful information for the team coaches, existing members of the club and also those who are interested in joining.
A flexible but robust CMS with different authority/access levels.
The CMS created by Evergreen is very flexible with different authority/access levels for admin users and the ability to tailor the content to individual groups. When visitors to the site click on a specific group (e.g. U14s), they can view upcoming fixtures, recent results, including match reports, the relevant contacts for that group and latest news that relates purely to the group they have selected. For away matches they can even click through to opposing clubs' websites or to a page which has useful information regarding location and directions to the away match venue.
Sponsors are an important element in the club's funding and the the CMS allows not only the full sponsor details to be displayed on the site but also to be shown on specific pages that relate to the group that they are supporting.
Managing fixture information has never been easier.
The CMS is sophisticated enough to pull through the required information to the relevant sections, so managing fixture information has never been easier, as information only needs to be added in one section and a fixture list can be created in minutes by just selecting whether a match is home or away, which team is playing and which club they are playing against.
In 2013 Evergreen increased the club's efficiencies further by adding a 'team selection' function. This allows team managers to assemble a team by clicking on the relevant player and from a pre-determined drop-down list, choosing the position that they would like them to play. Once the team has been assembled it shows which players have been selected for the match. A separate web application was also created giving a players a portal so that they can securely log-in using their email address and password. This enables them to provide information regarding their match availability at the beginning of the season, which is then integrated into the CMS system.
So what has it been like working with Evergreen and what has the feedback been like from the rugby club members and extended community who use the website? Says Senior Rugby Manager Phil Sprague, ''It is an absolute pleasure working with Evergreen - they have created a wonderful tool for the club and the senior members of the club use this as their first port of call to find out what's happening in the club.'' Dursley Rugby Club Chairman Simon Bilous adds a further endorsement, 'We have a wide-ranging membership and the users of the site reflect this - from children & young people and their parents and grandparents through to adult rugby players. The result is a website that we are proud of and which gets lots of compliments from our members and others who use it.'
